Procedures for Obtaining a BruinCard
Dear
Colleagues,
In
response to Chancellor Carnesale’s attached directive advising
faculty and staff to obtain a BruinCard and carry it as a campus photo
identification card, the BruinCard operation is issuing the following
information regarding the options for obtaining a BruinCard. Please
share this information widely with your faculty and staff.
If you would like to have a list of those in your department
that do not currently have BruinCards, please contact Nancy Tran,
BruinCard Operations Manager, at extension 62484 and we will provide
that information.
Please be advised that the only personnel eligible for a
BruinCard are those who have appointments in the Employee Database (EDB).
The
following are the procedures we have put in place to assist faculty
and staff in obtaining cards:
BruinCard Operations provides two options for
obtaining cards. The
first, and preferred method is to have employees submit passport-style
photos to be scanned for card production.
If this option is selected, employees must access our Web site
at www.bruincard.ucla.edu
and click on “BruinCard for Faculty and Staff” to complete the form
for photo scanning. Instructions
for mailing the form and photo to the BruinCard Office are also
provided on that page. Employees
should designate on the form where (i.e., at which BruinCard Office)
they would prefer to pick up their card.
Cards may then be picked up from the designated BruinCard
Office five business days after the application and photo are received
for processing. BruinCard

If
organizations wish to make arrangements to have one designated person
pick up and issue BruinCards produced from scanned photos on behalf of
their faculty and staff, they may do so by contacting Nancy Tran at
extension 62484.
In order to maintain the integrity and security of the
BruinCard and ensure that BruinCards are issued only to eligible
employees with valid photo identification, organizations will need to
adhere to certain control procedures to participate in this type of
arrangement.
The
second option is to participate in a carding program that is planned
to occur from November 26 to December 7, 2001 from 9:00am to 4:00pm at
123 Kerckhoff Hall.
Times for employees to be carded will be scheduled in
alphabetical order as follows:

Cards
will be distributed to employees during this event.
Please
visit our Web site, www.bruincard.ucla.edu,
for information regarding all features and functions of BruinCard.
Pay particular attention to the page that explains how deposits are
made to the optional debit account. Deposit options now include
automatic payroll deduction. BruinCard also provides the
cardholder the ability to check account balances, make deposits, view
recent transactions, and report a lost/stolen card through the web.
We
