Answers:

 

1) How do I obtain a BruinCard?

If you are a UCLA Faculty or Staff, you are eligible to receive a BruinCard. The preferred method is to have employees submit passport-style photos to be scanned for card production. Please follow the instruction below:

  1. Open, print and complete the BruinCard Terms & Conditions for photo scanning. Please remember to check the UCLA Employee box and include telephone number where you can be reached during business hours.
  2. Print out and mail the form and photo to the BruinCard Center at:

You will be notified when your photo has been received and processed. If you do not receive a call from our office within five business days, please contact the BruinCard Center at (310) 825-2336 to check on the status of your card.

2) What are the benefits of the BruinCard for Faculty and Staff?

This multi-purpose card serves as your official UCLA identification card, library card, access control card, recreation card, time entry card, BruinGo Big Blue Bus card, and as a convenient debit card for making purchases on and off campus.

3) Why do UCLA Faculty/Staff need a BruinCard?

Effective June 1, 2003, the UCLA Office of the Chancellor mandated that all faculty and staff obtain a UCLA BruinCard and to carry it with them when on University property. Individuals who do not carry a valid BruinCard will risk being denied access to University buildings and services.

4) When can I get a BruinCard?
Provided that you are already in the Payroll system, all paperwork has been submitted and cleared with your department’s personnel, and you have been given a 9-digit University identification number, you are able to get a BruinCard. Please be advised that you must wait at least 24 hours from the time your department processes your payroll information to allow time for that information to be updated in the BruinCard database.

5) What do I need to bring to get a BruinCard?
You need to have your 9-digit University ID and a valid government issued photo ID (e.g. passport, driver’s license, state ID).

 6) Do you offer payroll deduction for BruinCard deposits?  

Yes, all UCLA permanent employees are eligible to participate in the convenient BruinCard Payroll Deduction program. To enroll, you must fill out and submit the BruinCard Payroll Deduction form. Either on a month or biweekly basis, there will be an automatic deduction from your paycheck for the monthly amount you requested.

 7) If I don’t want to sign up for Payroll Deduction, is there another way I can deposit money onto my BruinCard?

Deposits can also be made via the web using a valid credit/check card, visit a BruinCard Center, or at one of our 6 Value Transfer Stations (cash only).

8)  I do not work on campus, where else can I use my BruinCard?

Over 20 locations in Westwood and Trimana on the first floor of the Wilshire Center accept the BruinCard for purchases. Please see BruinCard Merchants on our website for a complete listing where BruinCard is accepted.

9)  I am a UCLA Student and Staff, can I get a BruinCard for each status?

No. A cardholder can only have one card, regardless of the number of statuses. In this case, students get more privileges than staff, therefore, the student status will override all other status. Once you are no longer a student, return the student card in exchange for a staff card.

10)  Since I’m a UCLA Staff, is it free to get a BruinCard each time I lose or damage it?

Your first BruinCard is free. The cost for replacing a lost/stolen and damaged card is $21.00 and $6.00, respectively. If you have lost your BruinCard, suspend your lost/stolen card immediately via our online card office.  


In order to obtain a replacement BruinCard, simply stop by a BruinCard Center. Fill out a Card Action Report and a new card will be printed for you in about five minutes. If your card has expired, your replacement is free (assuming the expired card is presented at the time).

11)  What if I am no longer an employee at UCLA?

You must turn in your BruinCard to our office or your department personnel coordinator.

13) How do I activate my Easy Pay Debit feature?

It’s easy! Simply make an initial deposit to your account and begin using it. You can make a deposit by:

  • Making a web deposit using a credit card at: BruinCard E-Cash

  • Deposit at a Value Transfer Station (VTS) Located at: Ackerman Union, Kerckhoff Hall, North Campus, Rieber Hall, Covel Commons & DeNeve Plaza

  • Visit a BruinCard Center

  • Payroll Deduction (For Faculty and Staff only)

    14) What should I do about a lost or stolen card?

    IF YOU HAVE LOST YOUR BRUINCARD- CLICK ON THE LOST/STOLEN CARD LINK ON THIS PAGE TO SUSPEND THE USE OF YOUR CARD AS SOON AS POSSIBLE.

    In order to obtain a replacement BruinCard, simply stop by a BruinCard Center . Fill out a Card Action Report and a new card will be printed for you in about five minutes. If your card is lost/stolen, there is a $21 replacement fee. If your card is damaged (and the damaged card is present), there is a $6 replacement fee. If your card has expired, your replacement is free (assuming the expired card is presented at the time).

    15) If I lose my card, do I lose my cash?

    Losing your BruinCard doesn’t mean losing your cash - it is protected by a secure database and is not stored directly on your card. However, it is important to report your card lost or stolen ASAP so we can continue to provide you with all the great functions and features you get with BruinCard.

    16) What is the difference between a UCLA Healthcare ID Badge, Facilities Badge, and a standard BruinCard?

    The new Healthcare ID and Facilities Badge are official BruinCard. These two badges work in exactly the same way as a standard BruinCard.

    17) What do I do if my card is expired?

    If your card has an expiration date and it has expired, simply bring it into one of our BruinCard Centers and we will print you a new card. There is no fee for card renewal as long as we take possession of the expired card. If the expired card cannot be produced, then the expired card is considered a lost/stolen card and the $21 fee will apply.

    18) What is the difference between ‘Food Only’ and ‘Easy Pay’?

    Easy Pay account allows you to make debit purchases throughout campus and Westwood Village that accept the BruinCard. Food Only account restricts usage to food purchases at on-campus restaurants only.

    19) Why didn’t my web deposit go through? Is there a way to check that my deposit transaction was processed?

    Always check your account balance to make sure that your transaction went through. To check your balance, log on to your BruinCard online account (available 24 hours a day, 7 days a week). If you have checked your account balance and still believe that there is a discrepancy, please call the BruinCard Center at (310) 825-2336.

    20) I’m having trouble logging on to my BruinCard online account. What can I do?

    Make sure that you have registered for a BruinCard online account, and input all of the information correctly. When you do so, you create your own individual password. Make sure that when you are logging in to the system, you use your nine-digit university ID number and the password you created for your account. Forgotten passwords can be e-mailed to you at the e-mail address provided initially upon registration.

    22) What should I do if I think there is an error on my "Easy Pay" statement?

    If you suspect an error, you must report it to a BruinCard Center no later than 60 days after the error appears. Oral notification must be followed by written notification within 10 business days. An investigation of the error will then be conducted by the BruinCard Center, and you will be notified of the results.
